How we collect, use, and protect your personal information.

Who we are
Fullerton Rotary Club (“the Club,” “we,” “us”) is a nonprofit membership organization chartered under Rotary International. This policy covers the member portal, administrative tools, public website, and Fullerton Uncorked event site operated on our behalf by Datawake.
Information we collect
- Account information: name, email address, phone number, company, classification, and home address you provide when you become a member or apply to join.
- Member activity: meeting attendance, committee memberships, event RSVPs, volunteer signups, and dues payment history.
- Communications: messages you send through our contact forms, inquiries, or SMS replies, plus timestamps and delivery status of messages we send to you.
- Technical data: standard server logs (IP address, browser type, visited pages) and session cookies used by our authentication provider.
How we use it
We use personal information only to operate the Club:
- Communicate about meetings, events, dues, and Club business.
- Track attendance, committee membership, and recognize anniversaries and birthdays.
- Respond to membership inquiries, contact form submissions, and sponsor or vendor interest for the Uncorked event.
- Process dues payments and keep required accounting records.
- Keep an internal audit trail of administrative actions (required by our bylaws and by Rotary International).
We do not sell, rent, or share your information with advertisers, data brokers, or unrelated third parties.
Who processes your data
Your data is stored and processed by the following service providers:
- Neon— database hosting (PostgreSQL in US-East).
- Vercel— web hosting and application platform.
- Clerk— authentication and session management.
- Resend— transactional email delivery.
- Twilio — SMS delivery (see our SMS consent page).
- Anthropic— AI assistant queries (Bryn); only the text of your question and necessary context is sent.
Each provider is contractually limited to processing data on our behalf and is subject to industry-standard security practices.
Cookies
We use essential cookies to keep you signed in to the member portal and to remember preferences you set (such as your notification choices). We do not use advertising or tracking cookies.
Your choices
- Email preferences: adjust individual email categories at /portal/profile/notifications.
- SMS preferences: opt out of all Club text messages from the same notifications page, or reply STOP to any message. See our SMS consent page.
- Download your data: request a JSON export from the profile page in the member portal.
- Delete your data: email dustin@datawake.io to request deletion. Some records (attendance, dues payment history, audit logs) are retained for as long as Rotary International and the Club's bylaws require.
Changes to this policy
We'll update the “Last updated” date above whenever this policy changes. For material changes, we'll email active members and post a notice on the member portal homepage.
